Band Management
Manage your band's settings and invite other band members to work together on tour planning.
Understanding Roles
- Owner: Manages billing, can transfer ownership, and remove other members
- Member: Can create and edit tours, events, and advance sheets
- All band members can open Settings > Invite Band Members and send invitations
- Only the owner can remove other members or transfer ownership
- Subscription settings remain owner-only
Updating Band Profile
- Open Settings > Band Profile from the app settings screen
- Update the Band Name field and tap the check button to save immediately
Band Files
- Open Settings > Band Files to upload documents for your band
- Store stage plots, tech info, riders, contracts, and other key files
- Keep important touring documents available to the full band
- Free includes 100 MB of storage; Plus includes 1 GB
Inviting Band Members
- Open Settings > Invite Band Members
- Use the share link when you want to message a join link directly, or enter the person's email address and tap Invite
- Any band member can send invitations—owner access isn't required
- Email invites send a secure link to the recipient, while the share link can be copied into a message
- Invitations expire after 7 days and remain visible in the page list until they are accepted, cancelled, or expire
- You can resend or cancel email invitations directly from that list
Accepting an Invitation
- Invited member receives an email from TourNote
- Click the Accept Invitation link in the email
- If they don't have an account yet, they'll be prompted to sign up
- Existing users sign in with the invited email before accepting
- After accepting, the band appears in their band list
- They can now access all tours and events for that band
Managing Band Members
- View all current members and their roles (Owner or Member)
- Any member can resend or cancel pending invitations
- Only the owner can remove other members
- Open email invitations show who sent the invite and when it expires
- Use Settings > Invite Band Members to confirm who already has access
Transferring Ownership
- Open Settings > Band Profile and choose Transfer Ownership
- Select the member you want to transfer to
- Confirm the transfer (this cannot be undone)
- The new owner gains billing and subscription control
- You become a regular member (but retain access to all data)
Working with Multiple Bands
- Create another band at any time from the band switcher. On mobile root tabs, tap the current band name in the top bar. On desktop, use the band switcher in the header.
- All plans let you own and manage unlimited bands.
- Users can be members of unlimited bands
- Each band is completely separate with its own tours and events
- Switch between bands from the band switcher. On mobile root tabs, tap the current band name in the top bar. On desktop, use the switcher in the header.
- Your current band is displayed at the top of every page
- All actions (creating tours, sending advances) apply to the current band
Activity Tracking
- Open Recent Activity from the Home header or from the sidebar on desktop
- Recent activity shows who created or edited tours and events
- Track when advance sheets were sent by band members
- Helps keep everyone coordinated and informed
- Refresh the activity page to see the latest entries
Removing Members
- Only the owner can remove other members
- Any non-owner can remove themselves if they no longer need access
- Owners must transfer ownership before they can leave a band
- Use Settings > Invite Band Members to remove someone and confirm the action
- Removed members immediately lose access but can be re-invited later
Deleting a Band
- Scroll to the Danger Zone inside Settings > Band Profile
- Only the owner can delete the band, and you must remove extra members first
- Active subscriptions need to be cancelled before the delete button is available
- Deleting a band permanently removes it and all tours, tour dates, events, travel days, and pending advance sheets for every member
- This action cannot be undone—make sure you've exported anything important first
Free vs Plus
- All plans include unlimited bands and band members at no extra cost
- Free and Plus both support full band management
- No per-user fees - add as many members as you need
- Only the band owner manages the subscription
- Members don't need their own subscription to access a Plus band
👥 Team Coordination
Use the Recent Activity page from Home to see what your band members have been adding or editing. This helps prevent duplicate work and ensures everyone knows what's happening with the tour.
⚠️ Important: Ownership Transfer
Transferring ownership cannot be undone. The new owner will have full control over billing, subscriptions, and can remove members including you.
