Guest Lists
Collect requests from the band, review them, and keep a door-ready approved list for every live show.
Where Guest Lists Are Available
- Guest lists are available for live tour show days, one-off shows, and festivals
- Open an eligible show and select its Guest List tab
- Rehearsals, recordings, promo days, interviews, meetings, travel days, and days off do not have guest lists
- The approved guest list is shared with the whole band, while request review stays with the band owner
Requesting a Guest-List Place
- Open the show's Guest List and use the + button
- Enter the Lead guest name exactly as it should appear on the door list
- Set the Party size, including the named guest in the total
- Add an optional note for the band owner, then choose Send for approval
- You can edit or delete your own pending and approved entries while the guest list is open
Adding and Reviewing Guests as the Band Owner
- Entries added by the band owner go straight onto the approved list with Add to approved list
- Requests from other band members appear under Pending requests with the requester and their note
- Use the row actions, or swipe on mobile, to approve or reject a pending request
- The band owner can edit entries and remove approved guests while the list is open
- Band owners see all pending and rejected requests; other members see their own requests and the shared approved list
Using the Approved Door List
- Approved entries are sorted alphabetically by lead guest name
- Each row shows the total number of people in that party
- The approved heading shows the total number of people and, when one is recorded, the promoter's guest-list allowance
- The allowance comes from the show's advance details
- If approved people exceed the allowance, TourNote shows Approved people exceed the promoter allowance but still allows an owner to approve venue exceptions
Notifications and Request Status
- When push notifications are enabled, the band owner is notified when a member submits a request
- The requester is notified when the owner approves or rejects it
- Rejected requests are kept in a collapsed Rejected section for reference
- The band owner can restore a rejected request to Pending if it needs another review
- Guest-list requests and entries do not spend credits
When a Guest List Closes
- A guest list becomes read-only when its show is past or cancelled
- The existing approved, pending, and rejected entries remain visible, but no one can add, edit, approve, reject, or delete entries
- A guest-list deadline saved in the advance details is informational; the show date and cancellation status control when the list becomes read-only
💡 Keep the Door List Accurate
Use the full name the lead guest will give at the door, and include everyone in their party size. The approved total will then match the number of places your band is using.
