Getting Started with TourNote

Everything you need to know to start managing your tours, events, and to-dos.

1. Create Your Account & Band

  • Visit tournote.app and click Sign Up in the top right corner.
  • Enter your email address and create a secure password.
  • Enter your band name - this is what you and your band members will see.
  • You're now ready to start using TourNote!

2. Home and Events overview

  • Home: See today's show briefing when you have one, venue weather and drive timing when available, a Needs Action list, and your band's saved Quick Links when any are configured.
  • Events: Use the segmented tabs at the top to switch between List and Calendar views.
  • List view: Browse upcoming tours and standalone events in one timeline.
  • Calendar view: Shows tours, standalone events, and Unavailable blocks for band members.
  • Use the + button in either Events view to add a tour or event.
  • Use the + button in calendar view to add Unavailable blocks.

3. Create Your First Tour

  • Navigate to Events from the menu or bottom nav.
  • Click the + button and choose Tour.
  • Enter your tour name (e.g., "Spring 2024 Tour").
  • Set the start and end dates for your tour.
  • Save the tour.

4. Add Show Days to Your Tour

  • Open your tour, use the + button, and choose Show Day.
  • Enter the show date and venue name.
  • The venue address will be autofilled for you based on the venue name.
  • Add promoter contact information (email is important for advance sheets!).
  • Add any additional details or notes.
  • Save your show - it will appear in your tour dates list.

5. Send Your First Advance Sheet

  • Navigate to Advancing from the menu or the bottom nav.
  • Find your show in Outstanding and open it.
  • Use Send advance form on the show page.
  • The promoter will receive an email with a unique link to fill in show details.
  • You'll see the status update from Not Sent to Sent to In Progress to Completed.
  • If the band already has the details, use Enter advance details on that page instead of the public form.

6. Track To-dos

  • Open the To-dos tab and switch between All, Mine, and Completed
  • Use All for the full band list and Mine for tasks assigned to you
  • Create from the root To-dos view with the + button, then leave Linked Event blank or choose a show
  • You can also open an event or tour date and use its To-dos page for a show-specific list
  • Assign tasks to bandmates and set due dates to keep the list ordered
  • Check items off to move them into Completed and see who finished them

7. Band Files

  • Open Settings > Band Files to keep stage plots, riders, contracts, and other key documents together
  • Upload files once so the owner and Band members can access them; Crew do not have access to the Band Files library
  • Use clear titles to keep your touring documents easy to find
  • Select uploaded Band Files from the advancing page when you send an advance form

8. Credits

  • Every new band starts with 10 starter credits.
  • Events and show days cost 1 credit each.
  • Tours, travel days, days off, income/expense entries, and to-dos are unlimited. Advancing, notes, accommodation, files, bands, and band members do not spend credits.
  • Any active band member can buy credit packs or an Unlimited Pass from Settings > Credits & Passes.

💡 Pro Tip

Add promoter email addresses to all your shows from the start. This makes sending advance sheets super fast.
