Tours
Create comprehensive tour plans with show days, travel days, and rest days.
Creating a Tour
- Navigate to Events from the menu or bottom nav
- Click the + button and choose Tour
- Enter a descriptive tour name (e.g., "European Winter Tour 2025")
- Set your tour start and end dates
- Click Create Tour
Understanding Tour Dates
- Show Days: Performance dates at venues with promoters and advance sheet capability
- Travel Days: Days spent travelling between cities or countries
- Day Offs: Rest days built into your tour schedule
- All dates must fall within your tour's start and end dates (with a 2-day buffer)
Adding Show Days
- Open your tour and click the add button then choose Show Day
- Enter the date of the performance
- Add venue name and city and the autocomplete will give you a list of places to choose from
- Or add venue details manually: name, address, city, country
- Add promoter information: name, email (essential for advance sheets to work), phone, instagram account
- Add the show guarantee if you know it already
- Save the show - it appears in your tour dates list and advancing list
Adding Travel Days
- Click Add Travel Day within your tour
- Select the date you'll be travelling
- Enter origin (where you're leaving from)
- Enter destination (where you're going)
Adding Day Offs
- Click Add Day Off in your tour
- Select the date for the rest day
- Enter the location where you'll be staying
Editing Tour Information
- Click the tour name to view details
- Click Edit to modify tour name or dates
- Extending tour dates: You can add more days to accommodate additional show days
- Shortening tours: Ensure all existing dates fall within the new range
- Tour dates update immediately as you add or remove items
Tour Detail View
- Tour details use segmented tabs for Tour Dates and Finances
- Use Tour Dates to see the itinerary in chronological order
- Show Days, Travel Days, and Day Offs are visually distinct
- Past dates are listed under a Past section
- Use the actions menu (or swipe on mobile) to edit or delete any item directly from the list
- Click on each item to view the details
Tour Date Hub Pages
- Open a tour date to access the hub page with Info, Schedule, Hotel, and Finances
- Info is the hub with venue details, promoter info, and advance sheet status
- Use Schedule to review the running order and schedule items for the date
- Use Hotel to track hotels or stays for the date
- Use Finances to add income and expense entries for that date
- Entries roll up into the tour Finances tab and the main Finances tab
To-dos for Tour Dates
- Open a tour date and use its To-dos page for a date-specific checklist
- You can also create from the root To-dos view and choose the tour date in Linked Event
- Create checklists for show days, travel days, and day offs
- Mark tasks complete to move them into Completed
- Completed tasks show who checked them off
Tour Finances
- Open the tour Finances tab to review income, expenses, and net totals for the whole tour
- The tour Finances tab combines tour-level entries with entries from all of that tour's dates
- Use the + button on the tour Finances tab to add a tour-level finance item
- Use a show or tour date Finances tab when an entry belongs to a specific date
- Tour totals update as you add or edit entries
- Use the main Finances tab for band-wide totals and filters
Deleting Tours
- Open the tour page from the Events list
- Use the actions menu (or swipe on mobile) on the tour you want to delete
- Press the delete button and confirm the deletion
- The tour and all of its show days, travel days, and day offs are permanently deleted
- Advance sheets for the tour's show days are deleted with it and cannot be restored
📅 Date Validation
TourNote allows a 2-day buffer before and after your tour dates. This flexibility lets you add travel days just before or after the official tour period without adjusting the tour dates.
